ITS Information Notice: New Procedure for Software Requests  

All Software Requests need to go through a review for security, privacy, terms & conditions and compliance before being installed on any UNBC devices. This includes all information technology, communication technology, or software purchases/renewals, including “free” services.  

 Important Note: If one of the reviews is unsuccessful, this will result in the denial of the software request. 

  Why do we need to take this action? 

 Changes made by the provincial government regarding Privacy Impact Assessments, and guidelines for IT Security are requiring Universities to review all software for security, privacy, terms & conditions, and compliance. Any questions you have regarding the changes can be directed to privacy@unbc.ca. If a PIA determination form needs to be filled out, the privacy officer will be in touch. 

  Expectations 

 We do have a team from the Governance Office, Contracts and Supply Chain Management, Information Security and ITS that meet once a week to review PIAs but we have booked an additional meeting every week for software request review. This group will be maintaining a pre-approved software list for reference when IT receives software requests. We are hoping that once the list expands, we can get the tickets back to Client Services in a timely manner.  

 Important Note: Review of technology requests can take up to 30 days to be routed through the approval process. 

  How to submit a Software Request 

 For all software installation requests, please submit a ticket from our support portal. By using the support portal, the tickets will be allocated to the appropriate area in ITS rather than having to be triaged by the Service Desk. 

 Please login to our support portal (support.unbc.ca) and sign in. 

  1. Go to the Services tab. 
  2. If you are a Researcher please click on Teaching & Learning, GIS, CPSC, Research, Engineering. 
  1. If it is for Administrative use, please click on Equipment Purchase and Software Inquiries. 

 Important Note: Any software that has a cost must be procured through the regular Contracts and Supply Chain Management purchasing process. Please read the Terms and Conditions of the software to ensure you are purchasing the correct license.
